Waterproofing warranty requirements: track the conditions and issuance record
A coordinator preparing office-building closeout finds that a primer substitution was not linked to a written technical decision. The purchase record is complete, but the warranty file lacks confirmation of compatibility. The owner expects the warranty promised in the project scope.

Read the actual warranty conditions early and give each required item an evidence owner. The cited Canadian sample includes training, compatible materials and installation requirements, along with an issuance-request deadline. Those terms are examples for that specific warranty, not universal rules. A completed tracker helps identify gaps; the issuer still determines the actual application and coverage under the applicable documents.
Start the warranty file before closeout
- Identify the actual proposed document. Confirm the selected system, owner, project scope and warranty form with the responsible team. Read its conditions, remedy and exclusions as well as its term. Resolve a difference between the promised project requirement and the available manufacturer document through the proper contract and technical process.
- Extract conditions into a tracker. Record each applicable requirement with its source, timing, responsible person and needed evidence. Include installation qualifications, components, technical approvals, visits or tests only where actually required. Do not convert another manufacturer’s sample deadline into this project’s application date.
- Confirm evidence as work proceeds. Link the actual material and qualification records, required reviews and test reports to the relevant zones or stages. Mark missing information openly. An invoice proves a purchase, but it may not establish approved compatibility or that the installed material met the required condition.
- Refer changes before relying on them. Send substitutions or changed details to the responsible technical and contract review. Retain the actual written disposition and its scope. A verbal assurance from an installer should not be recorded as approval by a warranty issuer who has not made that decision.
- Reconcile the application package. Check the actual completion information, required submissions and deadlines against the selected warranty. Assign remaining questions and obtain acknowledgement through the applicable process. Do not label an application receipt as an issued warranty or remove a material exception simply to make the checklist complete.
- Hand over the issued terms. Retain the actual warranty, exhibits, service contacts and owner care obligations with the installed records. Explain remaining limitations or unresolved status plainly. Warranty questions and legal rights belong with the appropriate qualified advice; a site checklist does not determine entitlement to a future claim.
Common mistakes
- Reading the conditions for the first time at closeout.
- Treating a purchase record as compatibility approval.
- Calling an application acknowledgement the issued warranty.

- Reconciled application and outstanding status.
- Issued terms, care obligations and contacts.
Check your understanding
Every item is checked, but the application has not been assessed or issued. Can the coordinator tell the owner the warranty is in place?
