Time away from site: agree contact expectations and capable cover

The superintendent's phone rings through several evenings, including routine questions that another receiver could handle. Turning it off alone would leave the team uncertain about the actual contact arrangement. He needs a received boundary and capable cover, with real exceptions clear before the next period away.

Discuss time-away contact expectations through the actual work and employment arrangements. Separate routine contributions, agreed on-call duties and matters needing the required immediate response. The aim is a clear received arrangement, not a guarantee that a weekend remains silent or a prescribed period restores health. Keep actual obligations visible and raise recurring work that prevents the agreed time-away arrangement from functioning.

Make the contact boundary a received working arrangement

  1. Check what is actually expected. Confirm your role, any on-call arrangement, contact timing and applicable employment requirements with the responsible manager or adviser. Review the work that continues during your absence. Do not infer a legal right or obligation from a superintendent title, or create a personal minimum-rest rule that replaces the workplace's actual requirements and assessment.
  2. Separate routine work from real exceptions. Identify which common questions can use current references, an appropriate receiver or a later suitable work period. Define the escalation route from the actual site response arrangements. Avoid an exhaustive stopped-crew-or-incident rule; other urgent safety, technical or project needs may require their proper response, and the incoming caller should not have to guess your private categories.
  3. Receive capable cover and the handover. Confirm the covering person's contribution, competence, authority and availability. Give them relevant current matters and explain how unresolved questions reach appropriate support. Inform the affected teams of the received contact arrangement. Handing someone a phone cannot confer every decision power or prove a covering duty fits alongside their existing assignment.
  4. Review the interruptions that still occur. Record necessary work contacts and their actual reasons through suitable approved arrangements, keeping personal information appropriate. Check whether cover or reference gaps are sending routine work back to you. Receive changes early when the boundary fails repeatedly. A lower call count is not proof of adequate rest, complete recovery or a properly assessed work pattern.
