A planned site absence: competent cover, decision limits and the return handover
The superintendent wants a planned week away from a running site. The assistant can open the gate, but several owner decisions and a changed receiving sequence still depend on information in the superintendent's notebook. Booking the absence needs a responsibility handover that goes beyond keys and one daily check-in call.

Arrange the absence through the actual leave and site-coverage processes. Plan a suitable handover early enough for the work, with competent cover, current information and decision limits. Three months' notice, a two-page sheet or a daily call can be examples, not universal requirements. The aim is a received temporary transfer rather than continuing every routine decision remotely while describing the week as covered.
Transfer the work the covering person will actually face
- Agree the dates and coverage arrangement. Confirm the applicable leave process, project responsibilities and who can cover them. Check competence, workload and actual authority with the responsible manager. Identify other needed decision roles. An apparently quiet phase can change, so agree the absence and cover rather than relying only on a schedule forecast or assigning the most available person by default.
- Prepare current decisions and commitments. Collect the week’s fixed points, relevant work state, pending answers and controlled references. Give consequential items locations, contacts and needed dates. Separate confirmed directions from proposals. Link the covering person to the actual project records instead of putting the only copy of a new instruction in a private absence sheet.
- Make the handover demonstrated and received. Walk through likely decisions, contacts and escalation limits with the covering person under suitable arrangements. Check access to records and the people needed for answers. Confirm what responsibility is transferred and what remains elsewhere. Reading a page or receiving keys does not establish that its recipient can interpret every technical issue or authorize every purchase.
- Set contact and return expectations. Agree how the covering team obtains decisions during the absence, including the actual necessary escalation route. Avoid automatic daily calls where routine matters have a competent owner. On return, receive completed work, changes and still-pending answers before resuming responsibility. If cover cannot support the planned arrangement, resolve that gap through management rather than silently reverting to constant remote supervision.
