Comparing material quotes like for like: units, freight, taxes and terms on one sheet
The lowest pipe quote is per length and excludes delivery. Another is per metre and includes movement to the agreed floor. The purchaser needs a comparable total without assuming either supplier's conditions mean more than they actually say.

Put the quotes on one sheet using the same approved product, checked quantity and delivery scope. Convert units visibly and add confirmed excluded costs once. Mark estimates and unresolved terms separately, then compare the resulting total alongside actual lead time and delivery risk. The lowest headline price may not be the lowest comparable offer; an included-delivery quote is not risk-free.
Level the supplier comparison
- Confirm product and quantity. Identify the exact product, size, grade or approved reference in each quote. Check units, standard lengths and packaging against the quantity needed. Record the conversion and any rounding or minimum purchase. A matching description does not resolve an unapproved alternative or a different effective quantity.
- Match delivery scope. Ask what freight includes, destination, release count, unloading and any movement beyond the receiving point. Add missing services only through a confirmed quote or clearly labelled allowance. Do not assume 'delivered' means lifted to the floor or count the same handling cost both in freight and a separate line.
- Review commercial differences. Put currency, tax and duty treatment, validity, payment terms, minimums and changed-order or return charges on the sheet. Have appropriate purchasing or financial advisers review uncertain treatment. Keep quoted tax cash payments and cost comparisons on a consistent reviewed basis; do not assume every tax is recoverable.
- Record the decision and open conditions. Compare checked totals, needed dates, supplier commitments and unresolved risks. Identify questions that must close before issue of an authorized order. Keep the quotes, clarifications and final comparison together. A promising date in an enquiry response is not automatically a confirmed delivery commitment.
Use a separate symbol or column for allowances so an estimate cannot look like a supplier promise. If a late clarification changes the scope or validity, update the comparison's version and tell the decision-maker. Explain why the selected offer suits the actual requirements, including residual uncertainties. Do not hide a costly exclusion under a general contingency just to preserve the original ranking.
