The subcontractor closeout meeting: held before the trade leaves, account and list in hand
The siding trade plans to remove its scaffold on Monday, but the project manager has outstanding deficiency items and an unsettled account entry. Waiting until the crew leaves will complicate the discussion. She needs a meeting that distinguishes actual agreement from a list of subjects merely discussed.

Meet before the trade's departure to review remaining work, deliverables, account issues and the handover arrangement. Bring current lists and record agreements, unresolved matters and next actions. Scheduling the meeting in the week the work finishes is a useful planning target; it does not guarantee every issue can be settled or make a one-page record a comprehensive release.
Bring evidence to each agenda item
- Prepare the work and document lists. Share located deficiency items, relevant reviews and the trade's closeout sheet before the meeting. Identify what is complete, submitted, rejected or still awaiting review. Confirm the people who can answer and approve each subject. A trade representative's attendance does not necessarily give them authority to settle every commercial issue.
- Review the final account by status. Bring authorized adjustments, proposed charges, credits and prior amounts on a consistent basis. Compare supporting records and identify disputed entries explicitly. Record an agreement only when the appropriate parties actually reach it; do not convert silence or a plan to investigate into acceptance of a back charge.
- Confirm the remaining responsibilities. Agree dates and verification for outstanding work, document responses, access and demobilization. Check actual warranty commencement and the continuing contact rather than setting every warranty at the meeting date. Refer holdback, declarations and payment requirements to the contract and applicable legal review; the BC Act is a scoped example, not a universal release rule.
- Issue a precise meeting record. Describe each decision, responsible party, due point and unresolved question, with referenced attachments where needed. Confirm its accuracy through the agreed process and retain corrections. Check the wording and authority before asking anyone to sign a settlement or release. A signed coordination record should not be represented as agreement on an excluded dispute.
Arrange the departure around outstanding needs. If access equipment is still required, resolve its retention or an approved alternative with the responsible team before removal. Do not improvise access to close a small item after demobilization. The meeting should expose the remaining arrangements while there is still time to plan them.
